How PaperOne collects, uses, shares, and protects personal information.

This Privacy Policy explains how PaperOne collects, uses, discloses, and protects personal information when you use PaperOne’s websites, applications, and related services (collectively, the “Service”). It also describes the choices available to you.
1. Information we collect
We collect information in the following categories:
- Account information: your name, initials, email address, authentication information, account status, and preferences.
- Research content: papers, PDFs, folders, bibliographic information, notes, annotations, citations, reports, and other material you upload, create, or organize.
- AI interactions: search queries, prompts, selected sources, workflow inputs, generated outputs, feedback, and related processing metadata.
- Collaboration information: team membership, invitations, permissions, and activity in shared workspaces.
- Subscription information: plan, transaction status, billing identifiers, and subscription history. Full payment card details are handled by our payment processor rather than stored directly by PaperOne.
- Technical and usage information: IP address, browser and device information, timestamps, pages and features used, diagnostic events, and security logs.
2. How we use information
We use information to:
- provide, personalize, and maintain the Service;
- authenticate users and protect accounts;
- process papers and run requested search, review, and AI workflows;
- support teams, sharing, synchronization, and collaboration;
- administer subscriptions, usage allowances, and payments;
- respond to support requests and service communications;
- monitor reliability, prevent abuse, and investigate security events;
- understand and improve Service performance and usability; and
- comply with law and enforce our agreements.
3. AI and document processing
When you request document parsing, semantic search, or another AI-assisted feature, PaperOne processes the content and instructions needed to perform that request. Depending on the feature, relevant data may be sent to service providers that supply hosting, document parsing, search infrastructure, or AI models. We limit this processing to what is reasonably needed to provide and secure the requested feature.
Do not submit sensitive personal information or confidential material unless you have authority to do so and the feature is appropriate for that information.
4. How we disclose information
We may disclose information:
- to vendors that provide infrastructure, storage, authentication, document processing, AI, communications, customer support, diagnostics, security, and payment services;
- to teammates or collaborators when you share a workspace or content;
- when required by law or reasonably necessary to protect rights, safety, users, or the Service;
- as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards; or
- with your direction or consent.
5. Cookies and local storage
PaperOne uses cookies, browser storage, and similar technologies to keep you signed in, remember settings, synchronize application state, protect the Service, and understand whether features work correctly. Browser controls may let you remove or block these technologies, but doing so can prevent authentication or other parts of the Service from functioning.
We use Google Analytics to understand page visits and interactions, such as moving from the public website to the application. Analytics can use cookies to recognize a browser across visits. Our application events are designed to exclude search text, AI questions, authentication tokens, email addresses, and private resource identifiers. Browser controls and content blockers may limit analytics collection. Google describes its processing in its Privacy Policy.
6. Data retention
We retain information for as long as reasonably necessary to provide the Service, maintain security and business records, resolve disputes, and meet legal obligations. Retention depends on the type of information, why it was collected, account status, backup cycles, and applicable law. You can ask about retention or request deletion through PaperOne Support; the response may depend on applicable law, account status, backups, and technical or security requirements.
7. Security
We use administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or loss. No system or transmission method is completely secure, so we cannot guarantee absolute security.
8. Your choices and rights
You can update certain account information and manage sharing or subscription settings through the Service. Depending on where you live, you may also have rights to request access, correction, deletion, portability, restriction, or objection to certain processing, and to withdraw consent where processing relies on consent. Applicable law may provide exceptions or require us to verify your identity before acting on a request.

9. International processing
PaperOne and its service providers may process information in countries other than the one where you live. Privacy and data-protection laws may differ between those locations. Questions about where a requested feature processes information can be submitted through PaperOne Support.
10. Children
The Service is not directed to children who are not old enough to consent to the processing of their personal information under applicable law. If you believe a child has provided personal information without valid authorization, contact us so we can review and address the request.
11. Changes to this Policy
We may update this Privacy Policy as the Service, law, or our practices change. We will post the revised Policy here and update the date above. If you continue using the Service, review the current Policy for the latest description of PaperOne’s privacy practices.
